FAQ (Frequently Asked Questions)

E-Mail

1. I always get the reply "undeliverable" when sending e-mails with attachments

Since especially outdated versions of Office documents are a frequently used gateway for viruses and Trojans, the mail servers of Trier University reject e-mails with these attachments (*.doc, *.xls, *.ppt) and inform the sender about the non-delivery. It is neither possible to send these attachments to external recipients nor to receive them from external senders.

Therefore we strongly recommend not to use old document versions in general but to save all documents in the current format (recognizable by the extensions *.docx, *.xlsx, *.pptx). Using the Save As function and selecting the current document version, you can easily convert old documents. Since current Office documents (*.docx, *.xlsx, *.pptx) reduce the risk of such a gateway, but do not completely exclude it, and unencrypted e-mails and their attachments can be spied out very easily, we generally recommend to avoid file attachments in e-mails and to use the private cloud storage recommended by the university (Alfresco, Seafile) for data exchange.

2. How can I create automatic filter rules (inbox rules)?

You can also use our instructions for automatic handling of SPAM e-mails as a template for your own inbox rules. You can find the instructions on the -> spam page.

3. How do I set up the Outlook app from Microsoft?

For setup, use your default e-mail address (not its alias) and your personal password. If you do not know the difference between your default email address and your alias, please read the following information -> e-mail - overview.

You must use Exchange as your account type. Setting it up as an Office 356 account with Shibboleth login will not work.

Settings:

  • Email Address: Default e-mail address
  • Incoming mail server / Exchange server: exchange.umwelt-campus.de
  • Domain\User: umwelt-campus\<login name>
  • Password: Password of your university account
  • Description: any
4. What is the best way to set up my e-mail client (Exchange protocol)?

If a connection via Exchange is possible, you should preferably use this protocol. Here, not only your e-mails, but also your contacts and calendar entries are synchronized with your end device.

  • Encryption: Port 587 (STARTTLS)
6. How to set up my e-mail client in case of emergency (POP3 protocol)

If your device does not support Exchange or IMAP as connection protocol, use the POP3 protocol instead. In this case, only the e-mails are retrieved and no contacts or calendar entries.
